An Administrator View of Spanning Backup for Google Apps

Let's take a look at the Admin Panel in Spanning Backup for Google Apps. First of all, when you log in as the admin, you'll be taken to this screen. Spanning will pull in information from Google Apps so if you're a Google Apps admin, you'll automatically be an admin in Spanning Backup. All of your other organizational information will be pulled in as well. Up here at the top, you can switch between the admin for your domain, your own admin user account or the account of one of your other users. The Accounts tab will be the first one you see when you log in to the Admin Panel. On this page, you can get a quick snapshot of how many users are backed up, not backed up and how many licenses you have that are not being used. Up here, we can click “Manage Licenses” to get more information. On the Manage Licenses page, you have the option to turn backup off and on for individual users, entire groups or for the entire organization. There's also the ability to export the data in a CSV file, which you'll see throughout Spanning Backup. You can choose to purchase additional licenses here or back in the Accounts tab.

The Status tab is the quickest way to see if there are any problems with your backups. Green dots mean that there are no problems, and yellow dots mean that not all of the data is being backed up. The first column of dots will always be the latest backup. To see what's causing a problem, click on the yellow dot and you'll be given a list of errors. You can click on these to find out more information, and you'll be taken to a page that explains this type of error and any troubleshooting you might be able to do to fix it. If the troubleshooting does not work, please feel free to contact us at support@spanning.com and we'll get back to you shortly. And once again, you can export this information in a CSV file.

The Storage tab is a great way to see at a glance who in your organization is using the most data, which can be useful if you're worried about exceeding your per-user storage limits in Google Apps. Spanning Backup has no limits on the amount of data you can store with us however, so store as much as you need. This is also a great way to see overall how much data is being backed up. 

Under the Settings tab, there are several options to customize your experience with Spanning Backup. The first option is whether or not to allow your users to change their own backup settings so that they can individually control which items get backed up. The Mail Preview option is enabled by default so that, if you're a user or impersonating one, you'll be able to see a preview of your emails when you're trying to restore them, which can help you make sure that you're restoring the right ones. But if any of your users are dealing with confidential information through emails – CEOs and folks in HR for example – you may want the previews turned off. If that's the case, email us at support@spanning.com and we'll take care of that for you. Under the Status Summary Email Notification section, you have several options. Weekly email notifications about your backup status are enabled by default, but you can choose to get them daily if you'd like more frequent updates, or monthly if you'd like them less frequently. There's also the option to turn them off entirely, but we recommend that you receive some kind of notification, so that you can be aware of any problems that may arise with your files not being backed up. If you'd like to add additional administrators to the account, you can add them under the Spanning Backup Administrators section. You can search for a user, and you can click to add them as a Spanning Backup administrator. This is a great way to see who's an administrator for Spanning Backup and who's an administrator for Google Apps, and also gives you a lot more control over who's administering your account. If you do have multiple admins for your account, the Audit Log tab is useful to see what changes other admins have made. You can see what changed, who made the change, and you can click details for additional information about what has been changed.
