Microsoft 365 backup is the process of creating and storing backup copies of Microsoft 365 data so that it may be recovered in the case of a data loss event. If Microsoft 365 data is lost, compromised, or corrupted for any reason, backup data can be restored directly back into an organization's tenant and business operations can continue as normal.

Microsoft 365 does have measures in place to backup and protect your information. Microsoft performs regular data backups as part of their commitment to safeguarding your data and ensuring its availability in case of a disaster. These backups are aligned with their uptime service level agreement (99.9%).

However, these backups are not accessible to administrators or end users and are not designed for easy and swift data restoration. While it is possible to retrieve lost data through Microsoft 365's backups, the process can be arduous, expensive, and disruptive to business continuity.

Microsoft has taken extensive measures to alleviate the risks of data loss within Microsoft 365 and has put safeguards in place to ensure your data's safety from any fault on their behalf. However, it's important to understand that this protection operates under Microsoft's Shared Responsibility Model.

Under this model, Microsoft assumes responsibility of physical security at their data centers, as well as data storage replication and redundancy. The model also clearly states that your organization retains the ultimate responsibility for data protection. Microsoft affords no protection from the actions of your users and threats beyond their control that constitute the majority of data loss events.

The bottom line is that the safety of your Microsoft 365 data is your responsibility. The Microsoft Services Agreement states they “recommend that you regularly backup Your Content and Data that you store on the Services or store using Third-Party Apps and Services.” This is why it's important to have a third-party backup and recovery solution, such as Spanning, for your data.

Microsoft 365 backup is accomplished by first performing a full backup of all data within your tenant. Following this initial backup, Spanning automatically completes daily, incremental backups of newly discovered data. These automated backups can also be supplemented with additional backups as often as you see fit.

Each backup is stored as a point-in-time snapshot within your backup storage (hosted in the Amazon Web Services cloud). Spanning Backup for Microsoft 365 offers unlimited retention and backup versions so that you may retain as many historical backup points as necessary.
